For companies booking private group or corporate days. Accepted with the event quote; the accepted quote is the Event Schedule.
Parties: Karat Racing ("Karat"); and [company name], company no. [number], of [address] ("the Client").
1. The Event
- Karat delivers the event in the Event Schedule: date, circuit, cars, driving per guest, hospitality, branding and any extras.
- The Client is a business, so consumer cancellation rights do not apply.
2. Guests
- The Client gives Karat the guest list through the guest-list page by [10] days before the event.
- Every guest who drives must complete their details and sign the participant declaration through their link before the event. Guests who have not signed cannot drive, and no refund is due for them.
- Guests must meet the minimum age and licence requirements in the Event Schedule.
- The Client is responsible for its guests' conduct. Karat may stop anyone who drives unsafely, ignores instructions or appears to be under the influence of alcohol or drugs, without refund.
- Alcohol is not served to anyone before they have finished driving.
3. Price and payment
- The price, deposit and balance are as shown in the accepted quote. The deposit of [30%] is due on acceptance; the balance [21] days before the event.
- Extra guests or extras added later are invoiced at the rates in the quote, subject to availability.
- Late payment carries interest under the Late Payment of Commercial Debts (Interest) Act 1998.
4. Changes and cancellation
- Guest numbers can be reduced by up to [10%] until [21] days before without charge; after that the agreed numbers are charged.
- If the Client cancels the event, Karat charges: the deposit with [60]+ days' notice; [50%] of the total with [30–59] days; [100%] with under [30] days.
- If the circuit cancels or conditions make the event unsafe, Karat offers a new date or a refund of amounts paid for undelivered parts.
5. Damage
Damage to cars caused by a guest's driving is charged to the Client up to the excess per incident stated in the Event Schedule, unless the damage waiver was bought. Exceptions are as in the Damage and Excess Policy.
6. Branding and media
- The Client may supply logos and branding for use on the day; it confirms it has the rights to them.
- Karat may photograph and film the event. Using images of individual guests in Karat's marketing needs that guest's consent; the Client's logo needs the Client's consent.
7. Data protection
Each party is responsible for its own handling of guest data. The Client shares guest names and contacts only to let Karat run the event; Karat uses them only for the event and its safety records.
8. Liability
Nothing limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot be limited by law. Otherwise Karat's total liability is limited to the price of the event, excluding loss of profit and indirect loss.
9. General
Governed by the law of England and Wales; the courts of England and Wales have jurisdiction.
Accepted online for the Client by: name, position, signature, date and time recorded by the Karat platform.
