Booking Terms and Conditions

Version 1 · Effective [DATE]

These terms apply to every booking made with [COMPANY LEGAL NAME] trading as Karat Racing (company no. [NUMBER], registered office [ADDRESS], VAT no. [VAT], email [EMAIL]) ("Karat", "we", "us"). By creating an account or making a booking, you agree to them.

1. Who can book

  1. Drivers must complete Karat onboarding before their first test day:
    • identity verification;
    • signed declarations;
    • required training;
    • a seat fit where needed.
  2. For drivers under 18, a parent or guardian must create a linked account, give consent, and make the booking and payment.
  3. We may refuse a booking where onboarding is incomplete, or where we reasonably believe the driver is not suitable for the car or Venue.

2. What you are booking

  1. Test day. A day's driving in a specific car at a specific Venue on a specific date. The base package (car use plus one new set of tyres) is mandatory. Extras are optional and listed in your booking: track fees, additional tyres, coaching, photography, equipment hire, transport, championship entries and others.
  2. Seat fit. A one-time fitting of a seat to a seat specification. You can then use any car approved for that specification.
  3. Fixed-day packs. Prepaid credits, each covering the base package for one test day. Packs are valid until the date shown at purchase, are not refundable in cash once used, and cannot be transferred unless we agree in writing.
  4. Car reservation. Exclusive reservation of a specific car for the dates shown. The base package is covered for your bookings of that car within those dates. Track fees and extras are still charged.
  5. SIM sessions and vouchers. Vouchers are valid for the period shown and have no cash value.
  6. Register of interest. Registering interest in a car, Venue or date is not a booking. We will contact you if a matching day becomes available.

3. Prices and payment

  1. Prices are shown in the currency of the Venue's region and include VAT where applicable. Where a price is shown excluding VAT, this is stated clearly.
  2. Payment is taken in full at booking unless your booking confirmation states a different payment schedule.
  3. If a scheduled payment is not received by its due date, we may cancel the booking and apply the cancellation charges in the Cancellation & Weather Policy.
  4. Referral concessions and vouchers are applied as stated at the time. Only one concession applies per booking unless we say otherwise.

4. No 14-day cooling-off period

Our services are leisure services booked for a specific date. Under regulation 28(1)(b) of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the usual 14-day right to cancel does not apply. Instead, you can change or cancel under our Cancellation & Weather Policy.

5. Changes and cancellations

  1. By you: under the Cancellation & Weather Policy. The charge for any change or cancellation is shown before you confirm it.
  2. By us: we may need to change or cancel a booking, for example because of Venue closure or restrictions, weather, a car fault, safety concerns or circumstances beyond our control. If so, we will offer an alternative date or car of equivalent value, or a full refund of the amounts you paid us for the affected booking. We are not responsible for travel or accommodation costs you booked independently, unless the cancellation was caused by our negligence.

6. On the day

  1. Arrive at the time stated in your booking, with valid ID, your licence, and your own approved kit unless you have hired it.
  2. You must sign the Venue's own documents if they require it.
  3. Running time is not guaranteed. It can be reduced by red flags, weather, Venue noise limits, other drivers, mechanical issues or safety decisions. Lost running time is not refundable unless it was caused by Karat's own fault, such as a Karat car failure. In that case we will offer replacement running time or a pro-rata credit.
  4. We may stop your session if your driving or conduct is unsafe, or if you breach your declaration. No refund is due in that case.

7. Damage

Your responsibility for damage is set out in the Damage & Excess Policy, which forms part of these terms.

8. Your data and recordings

How we handle your personal data is described in our Privacy Notice. Your choices about photos, video and telemetry are recorded in your Media & Data Consent, and you can change them in your account.

9. Our liability

  1. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot legally be excluded or limited.
  2. Subject to 9.1, we are responsible for loss you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. Our total liability for any booking is limited to the price you paid for it.
  3. We are not responsible for loss that was not foreseeable, or for business losses. Our services are supplied for private use, except where a corporate booking states otherwise.
  4. Your rights as a consumer are not affected.

10. Corporate and trade bookings

Bookings made by businesses, agents or teams may be subject to a separate written agreement, which takes priority where it conflicts with these terms.

11. Complaints

Contact [EMAIL]. We aim to respond within 5 working days.

12. General

  1. We may update these terms. The version accepted at the time of your booking applies to that booking.
  2. If any part of these terms is found unenforceable, the rest remains in force.
  3. These terms are governed by the law of England and Wales. You may bring proceedings in the courts of England and Wales, or in Scotland or Northern Ireland if you live there.
